Health Canada Report Best Practices

To help keep your reporting process as easy and as accurate as possible, here are some best practices for working with GrowerIQ to report to Health Canada. In this article: - General Best Practices - Properly Using the GrowerIQ Reporting Tool General Best Practices - Do a physical inventory count once every quarter. This way you can have confidence that your reported counts match up with reality. - Use the Create Activity Log functionality. It's an easy way to capture notes/comments on batches, lots, lot items, or received inventory items whenever something happens that may impact inventory. - Download the Health Canada report at the beginning of the reporting month. That way, you’ll maximize the time you'll have to investigate and work alongside the team at GrowerIQ to help rectify any issues. (Leaving it until the end can lead to rushing and unwanted stress!) - If you notice a discrepancy in the report, notify us as early in the month as possible to give us enough time to help you out before it's due. - Keep records of data changes for the reporting month. That way you can cross reference any discrepancies. You can review what has been completed and whether there are any outstanding requests that could affect your inventory levels. - Each month, upload the report submitted via the CTLS to the Document Repository in GrowerIQ. You can do this by going to Documents > Business Operations. This way, any modifications done to the GrowerIQ report before it’s submitted to the CTLS will be captured in a central repository. Properly Using the GrowerIQ Reporting Tool 1. Take the data from our CTLS export and copy/paste it into the second row of the first tab in the reporting tool. The tool will automatically populate the other tabs with data. 2. Sales data is not captured in the CTLS export. Input your sales data into the reporting tool. 3. SOP Training Documents

You can upload your standard operating procedures (SOP) documents and assign them as readings for a user. This is great for getting new users up to speed in an organized way. Once a user is assigned a reading, they read the document and sign off on it to indicate they have read and understand it. Note*: If the document doesn't need to be assigned as a reading, upload it as a business operation document instead.* In this article: - Uploading an SOP Document - Reading and Signing an SOP Document - Managing and Assigning an SOP Document - Viewing Assigned Users - SOP Document Actions - Viewing Information on All Documents Uploading an SOP Document 1. Go to Documents > SOP Training, then click Upload SOP. 2. In the modal that appears, you can either click Upload File or drag the file from your file system into the Upload field. PDFs and image files are accepted. - If the file uploads successfully, it will be listed. To change the filed, click the x button and choose another file. 3. Click NEXT, then enter the required information about the document: - Name: The name of the document as it will appear to users. - Department: The department this SOP is applicable to (for your own reference). - Approved Date: Click the calendar button at the end of the field to select the date this SOP was approved. - Effective Date: Click the calendar button at the end of the field to select the date this SOP was/will be put into effect. - Review Due Date: Click the calendar button at the end of the field to select the date this SOP will need to be reviewed. - Review Approval Date: Click the calendar button at the end of the field to select the date this SOP's reviewal will need to be approved. - Description: A description of the document's contents and purpose. 4. Click Next, then select the user(s) to assign the document to as a required reading. Click ASSIGN to upload and assign the SOP document. Reading and Signing an SOP Document Go to Documents > SOP Training, then click the document you were assigned. Click View Document. Once you've read and understood it, Scroll down to the Info tab. Enter your password into the Password field and click SUBMIT to sign off on it. Managing an SOP Document Go to Documents > SOP Training, then click the document you want to manage. Viewing Assigned Users Under the Assignments tab, you can see a list of users who have been assigned the document as a required reading, whether they have signed, and when they signed. You can click Unassign next to a user if they were assigned the document by mistake. SOP Document Actions View Document Click to open the document. If your browser has a built-in way of previewing it, it will open in a new tab, otherwise you will be prompted to download it. Upload New Version Use this to upload a new version of the document to replace the existing version. The uploading process is the same as uploading the original document. The original document is then archived and will appear under the Versions tab at the bottom of the page. Assign User Use this to assign the document as required reading for a user. The next section describes how users can sign off once they've completed the reading. Archive If the document is no longer relevant, you can archive it. Setting the status to "archived" hides the other action buttons, but users assigned to it can still sign off once they've read it, and the document will still appear on the SOP Repository page, but will be marked as archived. Viewing Information on All Documents - To see a list of all actions taken on all documents, go to Documents > SOP Training, then click SOP Log. - To see a list of all sign off dates from users assigned to any document, go to Documents > SOP Training, then click Signature Log.

Business Operation Documents

While SOP Documents are meant to be mandatory reading for new users, business operation documents are any general documents that don't need to be attached to a batch, plant, or other entity. You can upload any file type from documents to spreadsheets to images. You can upload business operation documents to GrowerIQ to have easy access to them in once place. Uploading a Document 1. Go to Documents > Business Operations, then click UPLOAD DOCUMENT at the top of the page. 2. Select the document from your computer's file system. - If the file uploads successfully, it will be listed. To change the filed, click RESELECT and choose another file. 3. Enter the required information about the document: - Name: The name of the document as it will appear to users. - Description: A description of the document's contents and purpose. - Category: Enter a new category or select an existing category from the drop-down menu that appears. Categories are a way to filter the list of documents. - Tags: Enter any relevant tags for the document to make it easy to spot in the list of documents. After entering a tag, press Enter or Return on the keyboard to add it and enter another one. 4. Click UPLOAD NEW to add the document to the list. Managing a Document Go to Documents > Business Operations, then click the document you want to manage. SOP Document Actions Download Click to download and view the document. Edit Use this to edit any information that was entered about the document when it was first uploaded. Upload New Version Use this to upload a new version of the document to replace the existing version. The uploading process is the same as uploading the original document. The original document is then archived and will appear under the Versions tab at the bottom of the page. Archive If the document is no longer relevant, you can archive it. Setting the status to "archived" hides the other action buttons, and it will be hidden from the document list unless the Include Archived switch clicked on that page.
